Email mailboxes

Connect a mailbox so Pana can send customer emails (campaigns, form responses, and other outbound messages) from your own address.

Mailboxes appear on Settings → Integrations, in the Email section below the main integration catalog.

What you get

  • Send email from addresses your team already uses.
  • Connect Gmail, Outlook / Microsoft 365, Zoho Mail, or any SMTP provider.
  • Use connected mailboxes in email campaigns, sequences, and customer email templates.

:::info Mailboxes vs calendar integrations Connecting Gmail or Outlook here is for sending email.
Calendar sync uses Google Calendar or Microsoft Calendar under the Calendar category — those are separate connections. :::

Before you start

  • Access to the mailbox you want to send from.
  • For Gmail / Outlook: permission to authorize the Pana app for that account.
  • For Zoho Mail or other SMTP: an app-specific password (or SMTP credentials) from your email provider.
  • Workspace access in Pana (admin may be required depending on your workspace settings).

Connect Gmail

  1. Go to Settings → Integrations.
  2. In the Email / mailbox section, find Gmail.
  3. Click Connect.
  4. Sign in with Google and approve send access.
  5. Return to Pana; the mailbox shows as connected.

Use a Google Workspace or personal Gmail account that is allowed to send the mail your team needs.

Connect Outlook

  1. Go to Settings → Integrations.
  2. Find Outlook in the mailbox section.
  3. Click Connect.
  4. Sign in with Microsoft and approve mail send access.
  5. Return to Pana when authorization completes.

Connect Zoho Mail (SMTP)

  1. Go to Settings → Integrations.
  2. Find Zoho Mail and click Connect.
  3. Enter SMTP details. Typical hosts:
    • Zoho Mail (global) — smtp.zoho.com
    • Zoho Mail (EU) — smtp.zoho.eu
  4. Enter username, app-specific password, from address, and display name as prompted.
  5. Save and verify the connection.

Create an app password in Zoho if your account uses two-factor authentication — do not use your normal login password.

Connect other SMTP

  1. Choose Other SMTP.
  2. Enter host, port (often 587), encryption (STARTTLS is common), username, password, from email, and display name.
  3. Save.

Ask your email provider for the correct SMTP settings if you are unsure.

After connecting

  • Connected mailboxes appear in the mailbox list on the Integrations page.
  • Select a mailbox when configuring email campaigns, sequences, or templates that require a send-from address.
  • If a feature shows Mailbox required, connect at least one mailbox first, then return to that screen.

Disconnect or update

Use the mailbox controls on Settings → Integrations to disconnect a mailbox or update SMTP settings. Disconnecting stops new sends from that mailbox; it does not delete past campaign history.
