Zoho CRM

Sync Zoho CRM contacts into your event pipeline, push leads back from Pana, and optionally receive live updates via webhooks.

What you get

  • Import Zoho CRM contacts (with email) as leads on a chosen Pana event.
  • Choose your Zoho data center when connecting (US, EU, India, and others).
  • Limit how many contacts to import (all, 100, 200, or a custom number).
  • Optional auto-sync to a default event on a schedule.
  • Push to Zoho CRM from the Leads page — single lead or bulk.
  • Copy a webhook URL for inbound contact updates from Zoho.

Zoho CRM is one connection per workspace. Click Connect, pick your data center, and approve access in Zoho.

Before you start

  • A Zoho CRM account with permission to authorize apps.
  • Know which Zoho data center your organization uses (for example US, EU, or India).
  • At least one event in Pana to attach synced contacts to.
  • Workspace admin access in Pana.

Connect Zoho CRM

  1. Go to Settings → Integrations.
  2. Find Zoho CRM under CRM.
  3. Click Connect.
  4. In the dialog, select your Zoho data center (API domain). Examples:
    • United States — https://www.zohoapis.com
    • Europe — https://www.zohoapis.eu
    • India — https://www.zohoapis.in
    • Australia — https://www.zohoapis.com.au
    • Japan — https://www.zohoapis.jp
    • China — https://www.zohoapis.com.cn
  5. Click continue and sign in to Zoho.
  6. Approve the requested CRM permissions.
  7. Return to Pana; the card shows as connected.

:::caution Choose the correct data center If you pick the wrong region, sign-in may fail or sync the wrong org. Use the same data center as your Zoho CRM login. :::

Sync contacts

  1. On the Zoho CRM card, click Sync leads (or Sync contacts).
  2. Select a Pana event.
  3. Optionally set an import limit.
  4. Optionally enable Use this event for automatic sync.
  5. Start the sync.

Sync runs in the background. Contacts without an email are skipped. Existing leads matched by Zoho ID or email are updated.

Fields Pana adds to Zoho CRM

When you connect, Pana sets up these fields on Zoho CRM Contacts so you never have to create them by hand. Every push fills them with the lead's current values, alongside first name, last name, email, phone, job title and company.

Zoho CRM fieldTypeWhat Pana writes
Lead SourcePick list (Zoho's own)Always Pana Events, so leads from Pana are easy to identify. Pana adds Pana Events to Zoho's built-in Lead Source pick list.
Event NameSingle lineThe event the lead is mapped to.
Event Lead Interest LevelPick list — Cold, Warm, HotThe lead's interest level from Pana.
Event Lead TagsMulti-select pick list — Exhibitor, Sponsor, Investor, Partner, High Priority, Decision Maker, Urgent, VIPThe lead's tags. A lead marked as a decision maker always carries Decision Maker.
Event Conversation NotesMulti line (large)The latest note on the lead. Each push replaces it with the newest note.
Next Follow-up DateDate/TimeWhen the lead is due a follow-up, with the time of day.
LinkedIn ProfileURLThe lead's LinkedIn profile URL.
Pana Lead URLURLA link back to the lead in Pana.

If a field with one of these names already exists, Pana reuses it instead of creating a duplicate — so reconnecting is always safe. Empty values are never sent, so a push never clears something typed in Zoho CRM.

Creating fields needs a Zoho user allowed to customize modules (the connection asks for the ZohoCRM.settings.ALL scope). Without it, pushes still create and update contacts with the standard fields.

Edits made in Zoho CRM

Event Lead Interest Level, Event Lead Tags, Event Conversation Notes, Next Follow-up Date and LinkedIn Profile come back with the contact, so edits made in Zoho CRM show up on the Pana lead — on every contact sync, and live through the Zoho notification webhook. This works for leads that came from Zoho CRM and for leads captured in Pana and pushed to Zoho CRM.

  • A note changed in Zoho CRM joins the lead's notes thread as the newest note.
  • Tags Pana does not provision are left on the lead untouched; Decision Maker keeps the lead's decision-maker flag in step.
  • An empty field in Zoho CRM never clears the lead.
  • Lead Source, Event Name and Pana Lead URL are set by Pana and are not read back.

Re-create the fields

Connecting creates the fields, and a push quietly re-creates a missing one (at most once an hour). To re-run it right away — after someone deleted a field, or after you grant the Customize Zoho CRM permission — call:

POST /api/v1/integrations/zoho/provision-fields/
{ "workspace_id": "<workspace id>" }

The response lists the fields created and reused, and any errors Zoho CRM returned. Existing fields are reused, never duplicated.

Push leads to Zoho CRM

Single lead

  1. Open Leads.
  2. On a lead row, use Push to Zoho CRM.
  3. The lead must have an email address.

Bulk push

  1. Select one or more leads in Leads.
  2. Use Push to Zoho CRM from the toolbar.

Webhooks

Click Copy webhook on the connected card to copy the inbound URL:

https://eventsapi.pana.space/api/v1/integrations/webhooks/zoho-crm/{workspace_id}/

Pana registers a Zoho notification channel for Contacts for you when you connect, so contact changes update Pana without a full manual sync. If it could not be registered at connect (for example, without a public https API_BASE_URL), click Register webhook on the Zoho CRM card.

  • Verified: each connection gets its own secret token, which Zoho sends back with every notification; anything without it is ignored.
  • Kept alive: Zoho notification channels expire after a day. Pana renews the channel every few hours, so live updates keep flowing without anyone re-registering.
  • One channel: registering again replaces the previous channel rather than adding a second one.

Disconnect

Turn off the toggle on the Zoho CRM card. Existing leads in Pana are kept; live sync stops.
